This policy explains what information SchoolBanks collects, how we use and protect it, and the choices available to schools, districts, and families.

1. Who We Are and What This Policy Covers
SchoolBanks, Inc. ("SchoolBanks," "we," "us") provides a K-12 financial operations platform covering fee management, payments, asset tracking, reporting, and related accounting workflows ("Service"). This Privacy Policy covers the Service and our public website, schoolbanks.com.
When we process student and family data on behalf of a school or district, we act as a service provider under the school's direction. The school or district controls that data, and a signed agreement or data processing agreement with the school controls to the extent it conflicts with this policy.
2. Information We Collect
We collect three kinds of information:
- Information schools provide. Schools and districts submit records needed to run their financial operations: student and family identifiers, contact details, fee assignments, payment and account records, asset assignments, and related operational records.
- Information you provide directly. When you create an account, pay a fee, contact support, or request a demo, we collect details such as your name, email address, phone number, and the content of your messages.
- Information collected automatically. When you use the Service or website, we collect standard technical data such as IP address, browser type, device information, pages visited, and usage telemetry, using cookies and similar technologies.
3. How We Use Information
We use information only to run and improve the Service. Specifically, we use it to:
- Provide, maintain, and secure the Service for schools, districts, and families.
- Process fee payments and maintain accurate financial records.
- Respond to support requests and communicate about the Service.
- Monitor performance, fix problems, and improve features.
- Meet legal, audit, and compliance obligations.
We do not sell personal information, and we do not use student data for advertising or marketing.
4. Student Data and FERPA
Student records we process on behalf of a school are handled consistent with the Family Educational Rights and Privacy Act (FERPA). We act as a "school official" with a legitimate educational interest where applicable, process student data only on the school's instructions, and never disclose it except as directed by the school or required by law.

5. Payment Information
Card and bank payment details are collected and processed by PCI-compliant payment processors. SchoolBanks does not store full card numbers. We retain transaction records — such as amount, date, and payment status — needed to maintain accurate school financial records.
6. How We Share Information
We share information only in limited circumstances:
- Service providers. Vetted vendors that help us host, secure, and operate the Service, listed on our Subprocessors page, and bound by confidentiality and data-protection obligations.
- At the school's direction. With the school or district that controls the data, or with parties they authorize.
- Legal requirements. When required by law, subpoena, or to protect the rights, safety, or property of SchoolBanks, our customers, or others.
- Business transfers. In connection with a merger, acquisition, or sale of assets, subject to the same protections in this policy.
7. Cookies and Analytics
Our website uses cookies and analytics tools to understand how visitors use our pages and to improve the site. You can control cookies through your browser settings. Disabling cookies may limit some site functionality but does not affect your ability to read our content.
8. Data Security
We protect information with administrative, technical, and physical safeguards, including encryption in transit, role-based access controls, and monitoring. Details are available in our Security Overview. No system is perfectly secure, so we also maintain an incident response process and will notify affected customers of a breach as required by law.
9. Data Retention and Deletion
We keep information only as long as needed to provide the Service, meet legal and audit obligations, and honor our agreements with schools. When a school's subscription ends, we make its data available for export and then delete it consistent with our Retention & Deletion practices.
10. Your Rights and Choices
You have choices about your information:
- Students and families: requests to access, correct, or delete student records should go to your school or district, which controls that data. We support schools in fulfilling those requests.
- Website visitors and account holders: you may request access to, correction of, or deletion of your personal information by contacting us at [email protected].
- Marketing emails: you can opt out at any time using the unsubscribe link in any marketing message.
Depending on where you live, you may have additional rights under state privacy laws. We honor verified requests as required by applicable law and do not discriminate against anyone for exercising their rights.
11. Children's Privacy
The Service is used by schools, districts, and parents or guardians — not directly by young children. We collect student information only from and on behalf of schools, as permitted under FERPA and applicable law. We do not knowingly collect personal information directly from children under 13. If you believe a child has provided us information directly, contact us and we will delete it.
12. Changes to This Policy
We may update this policy from time to time. We will post the updated version on this page with a new "Last updated" date, and we will notify customer administrators of material changes.
