Trust & Security
A District Checklist for Vetting School Finance Vendors.
Districts are adding digital tools faster than review teams can keep up. A short, repeatable checklist helps you confirm that any finance or payments vendor protects student data and is open about how it works.
Reporting from Stateline describes the standard approval path for school vendors: a signed data processing agreement, a security questionnaire, and legal, privacy, and security reviews. It also notes that review teams are stretched, and cites an Instructure finding that districts had access to an average of 3,001 digital tools while students and educators used only four of them on average.
A clear checklist makes each review faster and more consistent. Here is one you can use for any vendor that touches student fees, payments, or records.
The seven-question checklist
- Is there a data processing agreement? Look for a signed DPA that explains how student data is handled and who can access it.
- Who are the subprocessors? The vendor should publish the third parties it uses, and what each one does.
- How are card details protected? Ideally, the vendor never stores raw card numbers and uses a trusted, tokenized payment processor.
- Who sees what? Role-based access should limit each user to their own school, role, and permissions.
- Does it support single sign-on and MFA? Your identity system should stay in control of access.
- What is kept in logs? Sensitive student details should stay out of retained application logs.
- Is there an audit trail? Every change to fees, payments, and records should be traceable.
How SchoolBanks measures up
- Payments: Card processing runs through Stripe, and SchoolBanks does not store raw card numbers or CVV data.
- Transparency: Our subprocessor list names each provider and its role.
- Access: Role-based access with least privilege and tenant scoping, plus SSO support and organization-specific MFA.
- Logs: Student names and other sensitive search details are not written to retained application logs.
- Records: Locked exports and a full audit trail support finance and audit reviews.
